Removing Duplicate Grade Items

Sometimes if a course copy doesn’t go as planned, or is run multiple times, the gradebook will end up with duplicate items. The easiest way to fix this is to stop and contact BoLTS so we can reset the course and restart the copy, however if you have already done work in the course post-copy, there is a solution still. This is a long and arduous process, but here goes:

Preparation

First, we need to edit the gradebook so that each grade item has a unique name. This will allow us to make sure we delete the right items later.

  1. Open the course and navigate to Grades → Grades → Manage Grades

  2. Click the checkbox at the top-left of the table to select all grade items

  3. Click on Bulk Edit

  4. Edit each duplicate item’s title to make it unique

    1. For example, add a 1 to the beginning or end of one batch of grade items, while using 2 for the second batch, and so on

  5. Click the blue Save button

Evaluate & Delete Assignments/Quizzes

At this point you should go through your course and note down which assignments/quizzes are associated with which grades, and determine which sets to delete. It may be beneficial to rename the assignments/quizzes to match the grade items they’re associated with so it is easier to reference which set is which.

  1. Navigate to Assignments → Assignments

  2. Hover over the ribbon icon to the right of each Assignment and note the associated grade item

    1. Rename the assignment by clicking on its name if desired

  3. Delete any Assignments that are not associated with the set of grade items you wish to keep

  4. Navigate to Assignments → Quizzes

  5. Follow steps 2 & 3 again for Quizzes

Delete Grade Items

Now that the Assignments and Quizzes have been deleted, we can get started clearing out the gradebook. Brightspace won’t allow you to delete a grade item that is still associated with an assignment or quiz.

  1. Navigate to Grades → Grades → Manage Grades

  2. Click the checkbox next to any grade item that does not have an Association, or isn’t from the set of assignments/quizzes that you’ve decided to keep

  3. Click on More Actions at the top of the page

  4. Select Delete to remove the items from the grade book

Congratulations, your course has been deduplicated! If you run into any issues in this process, please reach out to BoLTS for assistance.
